Not every hour is billable
Admin, marketing, invoicing, email, and meetings eat into your workweek. A 40-hour workweek might only have 25–30 billable hours.
Calculate your utilization rate
Utilization = billable hours ÷ total hours × 100. A 75% utilization means 30 out of 40 hours are billable. Most U.S. freelancers target 60–75%.
Track time for one week
Before estimating, track every hour for a full week. Categorize as billable, admin, marketing, or idle. This gives you a real baseline.
Account for vacation and sick days
If you take 2 weeks off, you lose 80 potential hours. Subtract vacation and sick time from your annual total to get realistic yearly billable hours.
